General Information

  • All the conditions set out for each day of care and agree to abide by all requests for each day (such as enclosed shoes, change of clothes, packing no electronics, etc.).

  • Bookings are on a ‘first in, first served’ basis.

  • There will be no refunds or credit given if I cancel any of my child/ren’s enrolments

    within 7 days of the booked session.

  • All children must be at the centre no later than the stated time for excursions.

  • All children must be in appropriate dress and enclosed shoes.

  • Families are to provide a refillable drink bottle and food as stated on the program. I

    understand that the food provided from home must be NUT FREE.

  • For all excursions, children are required to have; small backpack; refillable drink bottle; morning tea and lunch (unless specified otherwise); wear enclosed shoes only, hat and

    have appropriate wet weather gear.

  • Families will be asked to collect their child from the centre or from the excursion venue

    within the hour if there is unacceptable behavior.

  • That if my child/ren creates repeated disruptions to the program, the Centre reserves

    the right to suspend or withdraw the child/ren’s enrolment.

  • That the Centre cannot cater for sick children and that I am required to exclude my

    child/ren from care during illness as per the Centre’s Policy.

  • That I give permission for ambulance, medical and hospital assistance in an emergency

    and agree to pay all incurred costs.

  • That I give permission for my child/ren to attend the Centre and will not hold the

    Centre, its staff, or volunteers responsible for damages and / or loss of property.

  • That when caring for my child/ren, the Centre will rely on the information provided by

    me on the individual child enrolment form and in any written notification of changes.

  • That enrolment in the Centre is conditional on the accuracy of the information supplied

    by me and that my child/ren’s participation may be terminated with no refund costs incurred if the information is found to be inaccurate or misleading.

Operating Hours

  • School Holidays: 7:15am – 6:15pm, full day care.
    Staff Development Days: 7:15am – 6:15pm, full day care.

  • In-Service & Excursion times are a guide and can change slightly due to other circumstances.

  • Arrangements can be made if children need to be collected earlier from an excursion venue. Please contact the supervisor in charge on the day to organise.

  • If your child is not at the centre in time for an excursion, the staff cannot wait and will have no option but to leave without them.

  • Please notify the centre if you are running late to the activity/excursion

  • Children can arrive and be collected at any time during normal in-centre days.

  • Children must be dropped off and physically signed in at the centre, children are not to

  • walk on their own or catch a bus (legal requirement).

Bookings Close

  • Please be advised that bookings will close seven days out from each session.

  • Cancellations of vacation care bookings within seven days of the session will still be liable for the full-day fee.

Places

  • Please be aware that vacation care places are limited to 90 children per day. Bookings will only be accepted for children that are currently enrolled at the service and attend Pennant Hills Public School. Places fill fast, so book early to avoid disappointment.

  • Bookings are done on a first-in, first served basis

  • Spaces may become available due to cancellations/absences, check using your online QK

  • Enrol account or via the ‘’My Family Lounge’’ app for open spaces.

What to Bring:

  • Refer to the program sheet for what food to pack (normally recess and lunch, just like a normal school day however sometimes can be different).

  • If your child is prone to toileting accidents, please provide a spare pair of clothes – just in case. We do not have spare mufti clothes if they have an accident.

  • If the weather is hot enough, there will be water play/activities every day, so please pack spare clothes & a towel.

  • Families must provide recess, lunch and a drink bottle, hat, and enclosed shoes (no thongs or sandals).

  • For all excursions, children are required to have; a small backpack; refillable drink bottle; food as required on the program; wear enclosed shoes ONLY; hat; and have appropriate wet weather gear if needed.

  • Staff will reserve the right to refuse attendance if your child is not prepared for their day with the above items.

  • No electrical equipment or toys from home are to be bought to the centre, unless requested and programmed.

Refunds

  • Bookings cannot be cancelled within seven days of the booked session

  • A refund will not be issued for any days/excursions missed.

  • Refunds will only be available if PHBASC cancels a program (e.g., inclement weather) or

  • if outside providers cancel a program.

Government Benefits

  • Families can claim the Child Care Subsidy (CCS) for Vacation Care at PHBASC. To check your eligibility, please complete your Child Care Subsidy assessment on your online Centrelink account through the MyGov website/app.

  • Please contact Centrelink on 13 61 50 or go to https://www.humanservices.gov.au/individuals/services/centrelink/child-care-subsidy for further information.

  • If it is your first-time using Vacation Care, the rebate can sometimes be slow to come through from the Family Assistance Office. This is out of the center’s control.

Account in arrears

  • Bookings will not be accepted for Vacation Care if your account with the center is in arrears / debt. PHBASC retains the right to refuse bookings due to account arrears.

Personal Belongings

  • Personal belongings are only allowed at the Centre on a must have basis. All other toys and games ARE NOT ALLOWED at the Centre unless programmed (if in doubt, please check with the Supervisor in Charge). The centre takes no responsibility for personal belongings.

Sickness and Medication

  • In accordance with regulations, sick children and those with a contagious illness must not attend the Centre.

  • Please refer to our services COVID19 Risk Minimisation Plan for latest Health Information regarding advice on returning to the centre.

  • Any medications required for children must be given to the
    Supervisor in Charge for safe storage and can only be administered once correct forms have been completed by a parent.

Medication to Be Given

  • If your child will be requiring medication in our care, medication must be in its original packaging, with a doctor’s prescription label attached. Medications past their expiry day will not be accepted at the service.

  • You will be required to complete a medication form, permitting staff to administer the medication.

  • This will ensure centre staff are aware, before the day of their responsibilities regarding dispersing medication

  • Medication must be handed directly to the supervisor in charge on the day. Please do not leave any medication in your child’s bag.

Behaviour

  • If a child creates repeated disruptions to the program, the Centre reserves the right to suspend or withdraw the child’s enrolment after consultation with the parents.

Incursions

  • Incursions are not forced, and children do not have to participate, however will be encouraged to join in.

Excursions

  • Excursions on the program are capped at 60 available spaces. Any remaining bookings will participate in programmed activities at the Service.

  • Bookings for excursions will close;

    • 1. Once maximum capacity has been reached.

    • 2. 7 days prior to the excursion.

  • Permission forms are to be submitted by the first day of Vacation Care.

  • If you book your child into vacation care during the week of an excursion, they will not

  • be booked for the excursion, just the service itself.

  • For all excursions, children are required to have; small backpack; refillable drink bottle;

  • morning tea and lunch (unless specified otherwise); wear enclosed shoes only, hat and

  • have appropriate wet weather gear.

  • The commercial bus company, Glenorie Coaches, will undertake travel for excursions.

  • Children must arrive no later than the specified time on excursion days. No

  • responsibility is taken for late arrivals.

  • Risk Assessments are prepared for all excursions and are available at the centre.
